Terms of Service

These Terms of Service are between Piamcast Photo Booth (the Company) and the customer. By booking or using our services, you agree to the terms below. The specific services, venue, event date, service period, and price are confirmed in your proposal, booking, and invoice.

1. Booking Details and Services

Piamcast Photo Booth will provide the photo booth services and selected options identified in the customer’s proposal or invoice.

The booked service period begins and ends at the times stated in the proposal or invoice. Setup occurs before the service start time, and teardown occurs after the service end time. A delayed event start does not extend the booked service period unless Piamcast agrees to additional service time.

2. Reserving the Date and Payment

The booking is not secured until the agreement is accepted and a non refundable deposit equal to 50% of the total booking amount has been paid.

The remaining balance must be paid by the final payment date shown on the invoice. Failure to pay the balance when due may result in cancellation of the booking.

Transaction or payment processing fees are non refundable where permitted by law.

3. Cancellation and Rescheduling

The 50% booking deposit is non refundable if the customer cancels the event. Cancellation releases the event date for booking by another customer. Any cancellation must be submitted to Piamcast in writing.

Rescheduling is subject to Piamcast availability and is not guaranteed.

A date change requested 61 or more days before the original event date is subject to a fee equal to 10% of the total booking amount.

A date change requested 60 days or fewer before the original event date is subject to a fee equal to 20% of the total booking amount.

Amounts previously paid will be applied to the approved rescheduled booking. If Piamcast is unavailable for the requested replacement date, the request will be treated as a cancellation unless another mutually acceptable date is selected.

4. Arrival, Setup, and Venue Requirements

Piamcast generally arrives approximately 45 to 60 minutes before the booked service start time to unload, assemble, test, and prepare the booth.

Requests requiring setup substantially earlier than the normal setup window may result in an additional charge.

Delays caused by venue restrictions, unavailable space, lack of power, restricted access, or other conditions under the customer’s or venue’s control do not extend the booked service period or reduce the contracted fee.

  • Provide sufficient space for the selected booth and equipment.
  • Provide a safe, flat, and level setup area.
  • Provide a working 110 volt electrical outlet within 25 feet of the booth. A distance of 10 feet or less is preferred.
  • Obtain all venue permissions required for Piamcast to enter, unload, set up, operate, and remove its equipment.
  • Inform Piamcast before the event of stairs, restricted loading areas, security procedures, limited access times, or other conditions that could affect setup.

5. Outdoor Events

For outdoor events, the customer must provide a covered, flat, level, and suitable location for the photo booth within 25 feet of a working 110 volt electrical outlet. A distance of 10 feet or less is preferred.

The customer is responsible for providing the equipment shelter. Shelter is not included with the photo booth service unless specifically listed in the proposal.

Acceptable protection may include a tent, canopy, covered patio, porch, or permanent structure capable of protecting the booth, camera, lighting, electronics, and related equipment from direct sunlight, rain, and other precipitation.

Piamcast determines whether an outdoor location is safe and suitable for its equipment. If conditions are unsuitable, Piamcast may delay setup, require setup in an available indoor location, suspend operation, or decline to operate the equipment until conditions are safe.

Once setup is complete, the booth cannot be relocated during the event. Time lost because of weather, unsuitable outdoor conditions, or relocation required because of conditions outside Piamcast’s control counts against the booked service period and does not reduce the contracted fee.

6. Self Serve Service and Attendants

Piamcast photo booth packages are self serve by default.

Onsite prints and keychain photo inserts include the attendant required for those services. Standalone on site attendant service is available with any package starting at $30 per hour and may be requested during the availability form. An attendant remains onsite only when the service is included in the proposal.

For self serve bookings, Piamcast may complete setup and testing before leaving the booth in the customer’s care for the booked service period.

The customer is responsible for taking reasonable steps to prevent guests from moving, tampering with, misusing, damaging, or exposing the equipment to unsafe conditions.

7. Technical Problems and Service Remedies

Piamcast will make reasonable efforts to provide the full contracted service period.

If Piamcast cannot provide any contracted service for a reason within its reasonable control, Piamcast will provide a full refund.

If a technical problem caused by Piamcast interrupts any measurable portion of service after service begins, Piamcast may restore the lost service time when reasonably possible. If restoration is not reasonably possible, Piamcast will provide proportional Piamcast credit for the affected service time.

The proportional amount is calculated by applying the percentage of booked service time lost to the selected package price. Completed add ons and payment processing fees are excluded from that calculation.

Technical issues caused by the venue, electrical supply, internet availability, guests, weather, or conditions outside Piamcast’s reasonable control do not extend the service period and do not qualify for a refund or credit.

8. Events Outside Piamcast’s Control

Piamcast is not responsible for delay or inability to perform caused by circumstances beyond its reasonable control, including severe weather, unsafe travel conditions, road closures, government restrictions, widespread utility failures, serious illness, vehicle breakdown, or similar events that could not reasonably have been prevented.

If such an event prevents Piamcast from providing any contracted service, the 50% booking deposit will become Piamcast credit. Any payment received above the deposit will be refunded.

If an outside event interrupts only part of the service, time lost counts against the booked service period and does not reduce the contracted fee.

9. Piamcast Credit

Piamcast credit expires six months after the original event date. The replacement booking must be completed before the credit expires, but the replacement event may occur after the expiration date.

Rebooking is subject to date availability shown through the availability checker on the Piamcast website. Piamcast does not guarantee a preferred date. Credit expires after six months even if the customer’s preferred dates are unavailable.

Piamcast credit may be transferred to another person. A transfer does not extend or restart the original expiration period.

Any unused balance remains available until the original expiration date.

Piamcast credit may be applied to every charge on an eligible replacement booking, including packages, add ons, taxes, and processing fees.

10. Equipment Damage and Guest Conduct

The customer is responsible for damage to Piamcast equipment caused by the customer, guests, attendees, venue personnel, or other persons associated with the event, excluding normal wear or damage caused by Piamcast.

The customer may be charged the reasonable cost of repair or replacement for damaged, destroyed, or missing equipment. The customer remains responsible for intentional damage caused by the customer or event guests. Piamcast’s insurance does not waive or limit that responsibility.

Piamcast may immediately suspend or terminate service if its equipment, personnel, contractors, or property are subjected to threatening, abusive, dangerous, or destructive behavior.

When reasonably possible, Piamcast will first attempt to resolve the issue with the customer or venue representative. Service terminated because of unsafe or abusive conduct is not eligible for a refund for unused service time.

11. Liability

Piamcast is not responsible for personal injury, property loss, or property damage except to the extent directly caused by Piamcast’s proven negligence or other liability that cannot legally be excluded.

Piamcast is not responsible for indirect losses resulting from interruption, delay, venue restrictions, guest conduct, or circumstances outside its reasonable control.

Nothing in these Terms excludes liability that cannot legally be excluded or limited.

12. Photos and Event Media

Piamcast retains its ownership rights in photographs, GIFs, boomerangs, videos, layouts, and other media created through its photo booth system, subject to the usage rights provided to the customer.

The customer and event guests may use delivered event media for personal, non commercial purposes unless different rights are specifically stated in the proposal or invoice.

Piamcast may use event media for its portfolio, website, social media, advertising, and other promotional purposes permitted by applicable law. A customer may request a private event before service, in which case Piamcast will not use that event's media for promotional purposes.

13. Complete Agreement

These Terms, together with the accepted proposal and invoice, represent the complete agreement between Piamcast and the customer concerning the booked services.

Changes to the booking or these Terms must be approved by Piamcast in writing.
